Key Responsibilities

  • Report all incidents within shift.
  • Ensure that work area is tidy and safe to work in
  • Attend and participate in safety meetings e.g., green area meeting, toolbox talks etc.
  • Participate in inspections monthly together with the SHE representative.
  • Log incidents to be investigated in ISOMETRIX.
  • Ensure all invoices are aligned to the 14-point procedures.
  • Ensure queries related to invoices from supply chain, suppliers and finance are resolved.
  • Ensure that reservations and or purchase orders are accurate.
  • Work within policies, processes and systems and advise line manager of any issues which impede your, or the team’s performance.
  • Arranging and managing meeting venues for the sections.
  • Preparation of documents and presentations for the chemistry section.
  • Coordinate and book business trips and all necessary admin surrounding local and international travel for chemistry.
  • To assist global T&S members when visiting the Johannesburg office, when required.
  • Issuing of technical and customer liaison reports.
  • Facilitating collection and management of waste on site for chemistry.
  • Loading of incidents on Isometrix.
  • Sourcing departmental consumables in accordance with established. procedures via supply chain (the buyer).
  • Compiling and loading of single sources on the dashboard.
  • Facilitation and management of supplier onboarding.
  • Expense reconciliation and invoice administration through SAP concur.
  • Creation of purchase requisition and/or reservations for chemistry and site services.
  • Process approved SAP invoice payments and manage related queries from finance and suppliers.
  • Assist in closing of completed job cards by site services.
  • Creation of purchase requisitions raised by site services through SAP- plant maintenance.
  • To provide “first point of contact” for the department.
  • Daily administration of department.
  • Adhoc assistance when required.
  • Compile liaison meeting minutes.
  • Carry out other reasonable tasks as per the supervisor’s instructions.

Requirements

  • Minimum of Matric with English as a first or second language.
  • Computer literate (Advanced proficiency on Microsoft Word, Excel & PowerPoint).

Role-specific knowledge:

  • Advanced knowledge of Microsoft Office packages.
  • Familiarity with travel and expenses booking tools.
  • Working knowledge of SAP.
  • Strong organisational skills with the ability to prioritise and multitask.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and use initiative. 
  • The structure, workings and operations of the Anglo-American Group in South Africa will be an advantage.
