What Does an Administrator: Student Bureau and Records Do?
As an Administrator: Student Bureau and Records at MANCOSA, you will provide essential operational and administrative support for the efficient functioning of the Student Bureau. You’ll be a key player in maintaining accurate student records, facilitating verification processes, and ensuring timely service delivery in line with institutional Service Level Agreements (SLAs).
Key Responsibilities You’ll Master:
- Student Records Management: You’ll be responsible for ensuring the reliability, validity, and accuracy of all student and alumni records. This includes efficient record-keeping, retrieval of documentation, and handling historic alumni records. You’ll also coordinate committee meetings for historic record verification and assist with Student Information System (SIS) updates and National Learner Records Database (NLRD) process verification. Managing the Student Bureau mailbox will also be a core duty.
- Advisory Services and Student Support: You’ll serve as the first point of contact for student inquiries, often through platforms like FreshDesk/Hubspot. This involves providing clear guidance, compiling monthly reports on student services performance, assisting with student information sessions, and offering intervention support for any mishandled queries to ensure student satisfaction.
- Interdepartmental Coordination: You’ll assist in monitoring interdepartmental queries related to student support and actively contribute to their resolution. Additionally, you’ll provide administrative support to the Manager in overseeing departmental support functions to ensure all SLAs are met.
- Efficient Request Processing: Guiding students on how to navigate the portal for documentation downloads is key. You’ll also support personalized document needs, such as visa letters, and ensure that official documents are issued promptly, typically within 24-48 hours of a valid request.
- Qualification Verification: You will play a crucial role in verifying qualifications for third parties and regulators like SAQA, always with student consent. This includes sending official documentation for verification and issuing official documents within 24 hours of a valid request.
